Send the right link to the right recipient
Before sending, match the client, document, and required action. Explain who sent the request and give the client a way to verify unexpected messages.
Khtoom uses recipient links for signing and approval workflows. Share the link through the organization’s enabled channel and avoid forwarding it through group conversations.
Understand expiry and completion
Links can stop working because their validity period ended or the request is already complete. The correct response is to check the request, not to remove or change parts of the URL.
If a new request is needed, confirm the latest document version and intended recipient first. Tell the client which request is current to avoid duplicate work.
Help a client who cannot open the request
Ask for the visible error message without requesting that the client post the private link publicly. Check expiry, completion state, and whether the original link was copied in full.
If the request is unexpected, the client should contact the organization using an independently known contact method before entering information or signing.
FAQ
Can I pass the link to someone else to sign?
Ask the sender to confirm or change the intended recipient. Forwarding a link may give another person access without updating who the request is meant for.
Why does an old signing link no longer open?
It may have expired or the request may already be complete. Ask the sender to check the record and provide the correct next step.
